How to prepare visa application documents as PDFs

Short answer
Follow the official document checklist exactly. Unlock password-protected bank statements with Unlock PDF, merge each category into one file in the checklist’s order with Merge PDFs, and compress each file to the upload limit, for example with compress to 2 MB. Check every page is upright and readable, and don’t redact anything the checklist asks for.
Online visa applications usually involve a stack of documents: passport pages, bank statements, payslips, tax returns, employment letters, travel bookings, invitation letters. Each upload slot has a size limit, and the slots don’t always match the way your documents are split up.
Getting the files right is mostly about order and size. This guide covers both, using tools that run in your browser, because a visa bundle is about as complete a picture of your finances and identity as you can put in one place.
Order matters more than you’d think
Whoever reviews the application works through the checklist. If the statements are in random order or the tax return is buried in the middle of the payslips, they have to hunt. Merge in the order the checklist lists, and within a category go oldest to newest unless the checklist says otherwise.
Name each file after its checklist item, such as bank-statements-apr-sep.pdf, so the right file goes in the right slot.
Preparing your visa documents
- 1
Download the official checklist for your visa type from the government or its authorised application centre, and note the upload slots and limits.
- 2
Collect every document as a PDF. Bank statements and tax returns downloaded online are usually text PDFs; letters and certificates may need scanning with Scan to PDF.
- 3
Unlock password-protected statements with Unlock PDF using the password your bank gave you.
- 4
Fix sideways or upside-down pages with Rotate pages and remove blank pages with Delete pages.
- 5
Merge each category into one file in the checklist’s order with Merge PDFs, for example all six months of statements, oldest first.
- 6
Compress each merged file to its slot’s limit using the matching page, such as 1 MB or 2 MB.
- 7
Open each final file and scroll through every page before uploading.
Bank statements: unlock, keep the text
Banks often send statements as password-protected PDFs, and upload portals regularly reject them. Unlock them first.
Statements downloaded from online banking are usually text, not images. That keeps them small and sharp, and the compressor’s first, lossless pass is often enough. Avoid printing and rescanning them, which turns a crisp 200 KB file into a blurry multi-megabyte one.
When a category won’t fit the limit
Six months of scanned payslips or a long scanned tax return can exceed a slot’s limit even after compression. The compressor tells you when it can’t reach the target and stay readable. Then:
- Check for blank or duplicate pages and remove them.
- Use the original digital PDF instead of a scan wherever one exists.
- Check whether the portal allows more than one file per slot, and split the category if it does.
Keep a copy of exactly what you sent
Save the final versions in one folder, separate from the originals. If you’re asked for more information, or you apply again later, you’ll know exactly what was submitted.
Limits worth knowing
- Checklists and limits vary by country, visa type and application centre, and they change. Follow the official checklist.
- Unlocking needs the password from your bank; there’s no recovery for a forgotten one.
- Translation and certification of documents aren’t covered here.
- Very long scanned bundles may need splitting if the portal allows several files per slot.

Frequently asked questions
How do I combine six months of bank statements into one PDF?
Unlock each statement if it is password-protected, then add them to Merge PDFs oldest first and download the combined file. Compress it if it is over the upload limit. How do I reduce a visa document PDF to 2 MB?
Use the compress to 2 MB page, which opens the compressor already set just under 2 MB. Text documents usually fit with the lossless pass; scans are re-rendered at the highest resolution that fits.Should I redact my bank statements for a visa application?
No, not if the checklist asks for them. Officers need the details to assess the application. Are my documents uploaded when I use these tools?
No. Unlocking, merging and compressing all run in your browser. Nothing is sent to a server.
