How to reduce PDF size for email, WhatsApp, and uploads

Step by step

1. 1Note the real limit (email ~20 MB practical for a 25 MB cap; chat apps are often far lower).
2. 2Open Compress PDF — try Keep text, then Target size with your number in KB or MB.
3. 3If the target is unreachable, split the PDF or send fewer pages.
4. 4For WhatsApp, prefer a smaller target (often a few MB) and check the preview on your phone.
5. 5Strip metadata and unlock first if other tools refuse the file.

Email vs WhatsApp vs portals

Gmail and Outlook advertise 25 MB; treat ~20 MB as the safe ceiling. University and job portals publish their own limits — read the error text.

WhatsApp and many messengers recompress or reject large documents. Aim much smaller than email, and prefer Keep text until you must rasterize.

A size ladder that works

1) Delete blank pages. 2) Keep text compress. 3) Target size. 4) Split into parts. 5) Share a link instead of attaching when the document should not be degraded.
